Version 2.0 · Last updated 3 September 2026 · Next review 3 September 2027
This policy covers Midwest Fabrication Pty Ltd and all of its websites, including midwest.net.au and parts.midwest.net.au. It replaces all earlier versions. It is written to meet the requirements of Australian Privacy Principle 1.4 and is reviewed at least annually.
About this policy
Midwest Fabrication is a family-owned Australian manufacturer based in Dalby, Queensland. We design and build harvesting platforms, supply parts and accessories, and support the farmers, contractors and dealers who use them.
We handle personal information in two quite different ways, and this policy covers both.
Our own information. Information about people who enquire about a platform, request a quote, buy parts, register a machine, subscribe to our updates, visit our websites, attend a field day, apply for a job, or work for our dealers, customers and suppliers. We decide what happens to this information, and Part A explains what we do with it.
Information we handle with dealers and partners. Information that moves between us and our dealer network, service agents and the businesses that support our machines in the field. Part B explains that role and our limits.
Our commitment
We handle personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles. We also comply with the Spam Act 2003 (Cth) in everything we send.
What personal information means
Information or an opinion about an identified individual, or an individual who is reasonably identifiable, whether or not it is true and whether or not it is recorded. It includes things people do not always expect, such as IP addresses, device identifiers and online advertising identifiers.
Sensitive information is a subset that includes health information, disability information, racial or ethnic origin, religious beliefs, sexual orientation, criminal record and biometric data. We do not collect sensitive information from customers. We collect limited health information from employees and contractors only where it is required for work health and safety, injury management or fitness for a role.
Dealing with us anonymously
You can visit our websites, read our material and ask us a general question without telling us who you are. Where it is lawful and practicable, you may deal with us anonymously or under a pseudonym. We will tell you when we need your real details and why, for example, we cannot send you a quote, process a parts order, or honour a warranty claim without them.
Part A: Information we handle for our own business
A1. What we collect and why
| WHO | WHAT WE COLLECT | WHY | Website visitors | IP address, approximate location derived from it, device and browser type, pages viewed, referring source, time on site, advertising and analytics identifiers set by cookies and pixels. | To run and improve our websites, measure which marketing works, and show our advertising to relevant audiences. See section A3. |
|---|---|---|
| Enquiries and quote requests | Name, farm or business name, email, phone, postcode or region, combine make and model, platform size and configuration selected, and whatever you tell us about your operation in a form, call, email or conversation at a field day. | To respond to your enquiry, prepare and send a quote, refer you to your nearest dealer, and keep in touch about our platforms where you have agreed to that. |
| Customers and platform owners | Contact details, delivery address, machine and serial number details, configuration and options fitted, purchase and finance details where relevant, service and warranty history, and correspondence. | To build and deliver your platform, support it in the field, manage warranty claims, supply the right parts, and issue safety or product notices. |
| Parts customers | Name, contact details, delivery and billing address, payment details processed by our payment provider, order history, and machine details where you give them to us. | To process and deliver parts orders, provide receipts and support, and handle returns or warranty on parts. |
| Subscribers | Name, email, and engagement data such as which emails you opened and which links you clicked. | To send the updates you asked for and to measure whether they are useful. |
| Dealers, service agents and their staff | Contact details, role, territory, account and trading details, training records on our dealer platform, and correspondence. | To manage the dealer relationship, process orders and warranty claims, deliver product and service training, and provide technical support. |
| Suppliers and contractors | Contact details, ABN, banking details for payment, insurance, licence and trade qualification details where relevant. | To engage and pay them, and to verify they are appropriately qualified, licensed and insured for work on our site. |
| Field day and event attendees | Name, contact details, business name, region, and what you told us you were interested in. | To follow up on the conversation and, where you have agreed, to keep you informed about our products. |
| Site visitors and contractors at our Dalby facility | Name, company, contact details, vehicle details, sign-in and sign-out times, inductions completed, and any incident records. | To meet our work health and safety obligations and to know who is on site in an emergency. |
| Job applicants | Name, contact details, resume, work history, trade qualifications and licences, referee details, interview notes, and the outcome of any assessment. | To assess your application. We do not add applicants to our marketing lists. |
| Employees and contractors | Employment records including pay, superannuation, tax file number, emergency contacts, performance records, training and competency records, and health information where it affects the role or a workplace injury. | To employ and pay people and meet our obligations under employment, tax and work health and safety law. |
Employee records held by a private sector employer in connection with a current or former employment relationship are exempt from the Australian Privacy Principles under the Privacy Act. We handle them in accordance with our employment obligations and our own internal policies regardless.
A2. How we collect it
Wherever it is reasonable and practicable, we collect personal information directly from you: through a form on one of our websites, our online quote tool, the parts website, an email, a phone call, a visit to our facility, or a conversation at a field day or industry event.
Sometimes we collect information about you from someone else. The most common examples are a dealer passing on your enquiry or warranty claim, a referral from another farmer, or a finance provider confirming a purchase. Where we collect your information from a third party, we will take reasonable steps to make sure you know we have it and why.
If you do not give us the information we ask for, we may not be able to answer your enquiry, provide a quote, supply parts, or process a warranty claim.
A3. Cookies, pixels and tracking
Our websites use cookies and similar tracking technologies. Some of these collect personal information, including your IP address and identifiers that can be linked to you across websites.
| TECHNOLOGY | PROVIDER | WHAT IT DOES |
|---|---|---|
| Google Analytics 4 and Google Tag Manager | Google LLC | Measures how people find and use our websites. Collects IP address, device and behaviour data. |
| Meta Pixel | Meta Platforms, Inc. | Tells Meta when someone who saw our advertising visits our website, and lets us advertise to similar audiences. Sends visit data to Meta. |
| Google Ads conversion tracking | Google LLC | Links advertising clicks to enquiries and quote requests so we can measure return on ad spend. |
| Email tracking pixels | Our email delivery platform | Records whether you opened an email, which links you clicked, your device type, and the approximate location of your IP address. |
| Essential website and store cookies | Our website and parts platform providers | Keeps you logged in, remembers your cart on the parts site, and keeps forms and sessions working securely. |
Most browsers accept cookies by default and let you block or delete them in settings. Blocking cookies may stop parts of our websites working properly, including the online quote tool and the parts store checkout. You can also manage advertising preferences directly with the platforms, and through the Digital Advertising Alliance and Network Advertising Initiative opt-out pages.
A4. Advertising and audience targeting
We advertise our platforms, parts and job vacancies on platforms including Meta, Google, LinkedIn and YouTube.
- We may include contact details we hold, such as email addresses, in a customer list uploaded to an advertising platform so we can advertise to those people or to audiences with similar characteristics. The list is hashed before the platform processes it, which means the contact details are converted into a scrambled value rather than sent in plain text.
- We may use website tracking to advertise to people who have previously visited our websites or started a quote.
We do not sell, rent or trade personal information, and we do not supply it to data brokers.
If you would like us to stop using your information for audience targeting, contact us using the details in section C6 and we will remove you.
A5. Direct marketing and the Spam Act
We only send marketing emails and SMS to people who have given us their consent, or who have given us their details in a business context and would reasonably expect to hear from us, for example, an existing customer, a dealer, or someone who requested a quote.
Every marketing message identifies us as the sender and includes a working unsubscribe link.
Unsubscribe requests are actioned within five business days, which is the maximum the Spam Act allows. The unsubscribe link works for at least 30 days and does not require you to log in or provide any additional personal information.
If you unsubscribe from marketing, we will still send you messages that relate to your machine or your order, such as invoices, delivery and order updates, warranty correspondence, service reminders and product safety notices.
You can also ask us where we got your details, and we will tell you if it is reasonable and practicable to do so.
A6. Who we disclose it to
We disclose personal information to the businesses and service providers who help us build, sell and support our platforms, and only so far as they need it to do their job. That includes:
- our dealers and service agents, where you have dealt with them or where they are your nearest point of support;
- freight and transport providers, to deliver a platform or a parts order;
- component suppliers and sub-contractors, where a warranty claim or a repair involves their part;
- our payment, accounting, IT, website, CRM and email platform providers;
- our marketing agency, which operates our advertising, email and website analytics on our instructions and only for our purposes;
- our insurers, auditors and professional advisers.
We do not authorise any of them to use your information for their own purposes.
We may also disclose personal information where the law requires or permits it, where it is necessary to establish or defend a legal claim, where it is needed to address a serious product safety or work health and safety risk, or to a purchaser or their advisers if the business is ever sold. If that happens, we will require the same protections to continue.
A7. Overseas disclosure
If any software platforms we use are operated overseas, personal information we hold may be stored or processed outside Australia. The table below lists the categories of recipient and the countries where they are likely to be located.
| CATEGORY OF RECIPIENT | LIKELY LOCATION |
|---|---|
| Analytics and advertising platforms | United States |
| CRM, forms, email and SMS delivery | United States |
| Website and online store hosting | Australia |
| Cloud storage, file sharing and project management | United States |
| Design, engineering and drafting software | Australia |
| AI assistance, subject to our internal AI use rules | United States |
| Email and office software | Australia, United States |
| Accounting, payroll and invoicing | Australia, New Zealand |
We may also disclose limited personal information to overseas component suppliers or combine manufacturers where it is necessary to resolve a warranty claim or a technical issue on your machine.
Before disclosing personal information to an overseas recipient we take reasonable steps to satisfy ourselves that they handle it consistently with the Australian Privacy Principles, normally through their terms of service and data processing terms. We update this list at each review.
Part B: Information we share with dealers and partners
B1. What this looks like in practice
- Sharing your machine and serial number details, configuration and service history with a dealer or service agent so they can support your platform in the field.
- Working with a dealer, a component supplier or a combine manufacturer to investigate and resolve a warranty claim.
- Providing dealer staff with product training and technical resources through our dealer training platform, and keeping records of who has completed what.
- Sending product safety, recall or technical service notices to owners and dealers.
B2. What we commit to
- We share your information with a dealer or partner only where it is needed to sell, deliver, service, supply parts for or support your machine.
- We do not sell or trade our customer database, and we do not supply it to unrelated businesses.
- Where a dealer collects your information first, that dealer is responsible for how they handle it under their own privacy policy. We are responsible for what we do with it once it reaches us.
- We ask dealers and partners to handle information we give them consistently with this policy and the Australian Privacy Principles.
- Access inside our business is limited to the team members who need it to do their job.
B3. If you dealt with a dealer rather than with us
If you want to access, correct or delete information held by a dealer, contact that dealer directly, they hold that relationship and their own records. If you contact us instead, we will pass your request on promptly and let you know we have done so. Where we hold the same information ourselves, we will action your request under section C4.
Part C: Your rights and our obligations
C1. Automated decision-making and AI
- We use AI tools to help produce and analyse work, including marketing content and internal documents. Their use is governed by our internal AI use rules, which set out the tools our team may use, the information that must never be entered into them, and the requirement that a named person reviews anything before it reaches a customer or the public.
- We do not use automated processes to make decisions that significantly affect a person’s rights or interests. Decisions about hiring, credit, warranty outcomes and service delivery are made by people.
- We do not enter customer personal information, or sensitive information of any kind, into public AI tools.
- Advertising platforms we use apply their own automated systems to decide which ads to show to whom. Those decisions are made by the platform, and their privacy policies apply.
- Where a machine, telematics device or connected system generates data about how a platform is used, we will tell you what is collected and what we do with it before it is enabled.
C2. Security
- Access to systems is limited to the people who need it, with individual accounts and multi-factor authentication enabled where the platform supports it.
- System and dealer portal access is removed when a team member leaves or changes roles.
- Devices are password protected and kept up to date.
- Paper records held at our facility, including site sign-in records and personnel files, are kept secured and access is restricted.
- We do not send passwords, credentials or bulk personal information by email.
- Payment card details for parts orders are processed by our payment provider. We do not store full card numbers.
No system is completely secure. We will tell you if something goes wrong that affects you.
C3. How long we keep it
| INFORMATION | KEPT FOR | WHY |
|---|---|---|
| Enquiries and quotes that do not become sales | Indefinitely | Follow-up and record of the conversation |
| Marketing subscribers | Until you unsubscribe, then a suppression record only | A suppression record stops us contacting you again |
| Customer and machine records, including serial numbers, configuration, warranty and service history | For the working life of the machine, and at least 7 years after the last transaction | So we can supply the right parts and support the machine long-term, and to meet warranty, product safety and limitation period requirements |
| Parts orders and sales records | 7 years | Tax, corporate and limitation period requirements |
| Dealer and supplier records | 7 years after the relationship ends | Tax, corporate and limitation period requirements |
| Site visitor and contractor sign-in records | As required under work health and safety law, and longer where an incident is recorded | Work health and safety obligations |
| Unsuccessful job applications | 12 months, or longer with your consent | To consider you for future roles |
| Employee records | 7 years after employment ends, and longer where required for injury or exposure records | Fair Work Act, tax and work health and safety obligations |
| Website analytics data | 14 months, per our Google Analytics retention setting | Measurement and reporting |
When information is no longer needed for any of these purposes and we are not required to keep it, we destroy it or de-identify it.
C4. Access and correction
You can ask us what personal information we hold about you, ask for a copy, and ask us to correct anything that is wrong or out of date. Contact us using the details in section C6.
- We will acknowledge your request within 5 business days and respond within 30 days.
- We may ask you to verify your identity first.
- There is no charge for making a request. If a request takes substantial work we may charge a reasonable cost for providing access, and we will tell you before we do.
- If we refuse access or a correction, we will tell you in writing, explain why, and tell you how to complain.
- If we have already disclosed information we later correct, for example, to a dealer or a freight provider, we will take reasonable steps to notify them.
C5. Data breaches
If we become aware of a possible data breach we assess it promptly, and within 30 days at the latest. Where a breach is likely to result in serious harm we notify the affected individuals and the Office of the Australian Information Commissioner in line with the Notifiable Data Breaches scheme. Where a dealer’s or supplier’s data is involved we tell them immediately and support them to meet their own obligations.
C6. Complaints and contact
If you have a question about this policy, or you think we have mishandled your personal information, contact us first. We take complaints seriously and we would rather hear about a problem than not.

We review this policy at least once a year and whenever our tools or practices change materially. The current version and date are shown at the top of this page.
